2. Personal Data We Process
In connection with the provision of genealogical services, we may process the following categories of personal data:
- Personal data related to your inquiry and order – such as your name, e-mail address, telephone number, and billing or delivery address.
- Data about your ancestors and relatives necessary for compiling family trees and family books – in particular, names, dates and places of birth, marriage, and death, as well as the locations of these events.
3. Purpose of Processing
Personal data are processed for the following purposes:
- for the conclusion and performance of a service contract,
- for the maintenance of accounting records,
- for communication with clients,
- for genealogical research, exclusively for the preparation of family trees, family books, videos, and other related outputs.
4. Legal Basis for Processing
The processing of personal data is based on the following legal grounds:
- Performance of a contract (Article 6(1)(b) GDPR),
- Compliance with a legal obligation (e.g., accounting records – Article 6(1)(c) GDPR),
- Legitimate interest of the controller (e.g., retention of materials for the purpose of handling potential complaints).
5. Data Retention Period
- If you do not enter into cooperation with us and do not become our client, your personal data will be retained for a maximum of 6 months from the date of the last communication.
- If you become our client, your information will be retained for the duration of the contractual relationship and subsequently for the period required by applicable legal regulations (typically 10 years from the last service provided).
- Genealogical materials may be archived for a longer period if the client gives explicit consent (for example, for future extensions of the research).
6. Data Sharing
- Personal data are shared with third parties only when necessary and in connection with the provision of our services. Such recipients include:
- Tranum Consult – provider of accounting, tax, and consulting services,
- POHODA – provider of invoicing software,
- Microsoft and Google – providers of online storage and cloud services,
- PPL, GLS, Zásilkovna – delivery service providers,
- Toužínovi Bookbinding,
- Plánotisk Printing House,
- Morning Pug – video production services.
- Personal data are not transferred outside the European Union.
7. Rights of Data Subjects
Clients have the right:
- to access their personal data,
- to rectification or erasure,
- to restriction of processing,
- to data portability,
- to lodge a complaint with the Office for Personal Data Protection (www.uoou.cz).
8. Data Security
All data are stored on secure, password-protected servers and cloud platforms. They are not publicly shared or disclosed without the client’s consent.
